How to Set Up Your Mail Client on Mac OS X

This how-to will be helpful when you set up your email client on your computer with a Propertyshelf hosted email account.

Step-by-step guide

Add an email account on Max OS X using Apple Mail:

  1. Click on File - Add Account

  2. Enter your personal information.

  3. Verify server certificate. Currently our server certificate will not be recognized by all operating systems. That's why you'll get a warning.

  4. Set trust for server certificate. You can securely do this. If you don't, you'll be asked every time your mail client connects to our mail server.

  5. You might have to enter your Mac account password to allow the changes (to trust the certificate).

  6. Setup information for the incoming mail server. Verify that you use your email address as the username. The incoming mail server ismail.propertyshelf.com.

  7. Set up information for the outgoing mail server. Use mail.propertyshelf.com here as well. Verify that you use authentication and that your credentials are the same as for the incoming mail server.

  8. Verify the data within the account summary and take your account online.

POP3 or IMAP?

When setting up your mail account you will be asked what protocol to use. This info should help you to use the right one.

I always recommend using IMAP over POP3Exchange is for Microsoft Office mail servers only, so you can ignore this.

With POP3, your device is asking for the latest emails from the server, and stores a copy of it on the device. The emails on the server are not marked as read. If you have 2 devices, opening an email on one would still show the same email on the other device as unread. If you delete an email on a device, it is only deleted from that specific device, not from the server or other devices.

With IMAP, you get a local copy of the full email account on your device (cell phones mostly restrict this to the last 100 within a folder to save space). If you read an email on one device, it gets marked as read on other devices as well (if they are using IMAP too). If you reply to an email, you can see the reply on other devices as well. If you delete an email, guess what, yes, the email will be deleted on all devices.

At Propertyshelf we always set up the email accounts as IMAP on desktop/laptop computers (at least I tell everyone to do so).
